Inspection Terms & Conditions

Version inspection-v1.0-2026-09

These terms apply to every interim property inspection recorded through Property Direct Hub. They are shown again, and must be accepted, before an inspection can be started.

1. Purpose of an interim inspection

The inspection tool provided by Property Direct Hub is intended for routine or interim property condition monitoring and record-keeping.

Its practical purpose is to create a dated record of the property's observed condition, supported by photographs and written notes, so that visible maintenance requirements, changes in condition or potential issues can be identified at an early stage. Used consistently between formal inspections, this record assists owners, landlords, property managers, estate agents and occupants with day-to-day property management, planning of repairs and clear communication about the state of the property.

2. What this inspection is not

An interim inspection is not a substitute for, and does not constitute, any formal, statutory, professional, legal, technical, municipal, building, electrical, plumbing, gas, structural, occupational health and safety, pest or other inspection, assessment, certification or report that may be required by law, contract, an insurer, a lender, a municipality or any other competent authority.

The inspection is a visual, non-invasive record of what is reasonably apparent to the person carrying it out at the time. It does not involve testing, dismantling, opening up of surfaces, or examination of concealed, inaccessible or specialist elements of the property.

The inspection does not, on its own, determine liability for damage, establish legal responsibility, certify compliance with any standard, or constitute expert evidence, unless the relevant findings are independently verified by a suitably qualified person.

3. Attendance and access

An interim inspection may be completed by an authorised person without the landlord and the tenant being physically present at the same time.

Access must at all times be lawful and must be arranged in accordance with the applicable lease or mandate, any agreed access or notice arrangements, and South African law. The person carrying out the inspection is responsible for confirming that they are authorised to enter the property.

Where an occupant is present, this should be noted in the inspection record.

4. Accuracy and responsibility of users

The person completing the inspection is responsible for the accuracy and completeness of the notes, photographs and other content recorded.

Users remain responsible for obtaining any formal inspection, professional assessment, certificate or report required by law, contract, an insurer, a lender, a municipality or any other competent authority.

Property Direct Hub provides the technology used to capture and store the record. It does not carry out inspections, does not verify the content recorded, and does not act as an estate agency, inspector, assessor or valuer.

5. Photographs, documents and personal information

Photographs and documents uploaded during an inspection may contain personal information. Only capture what is reasonably necessary for the purpose of the inspection, and avoid photographing identity documents, financial records or other personal material that is not relevant to the property's condition.

Uploaded images and documents are compressed and stored privately, and access is limited to the account that created the inspection and to platform administrators. Unnecessary image metadata, including location data, is removed during processing.

Personal information is handled in accordance with our Privacy Policy and POPIA Information page.

6. Record of acceptance

When an inspection is started, we record the account that accepted these terms, the date and time of acceptance, the property or inspection reference, and the version of these terms that was in force. This record is kept with the inspection so that the historical inspection remains linked to the terms accepted at the time.

7. Limitation of liability

To the extent permitted by South African law, Property Direct Hub is not liable for loss or damage arising from reliance on an interim inspection record, from decisions taken on the basis of it, or from a failure to obtain a formal or professional inspection where one was required.

Nothing in these terms limits any liability that may not lawfully be limited or excluded.

8. Changes to these terms

These terms may be updated from time to time. The version applicable to an inspection is the version accepted when that inspection was started.

These terms are provided for practical use and are not a substitute for advice from a South African attorney.
