Privacy Policy

Version v1.0-2026-09

This policy explains what personal information Property Direct Hub collects, why we collect it, who we share it with, how long we keep it and what you can ask us to do with it. We aim to apply the principles of the Protection of Personal Information Act, 2013 (POPIA).

1. Who this policy applies to

Property Direct Hub is an online property advertising and property-management support platform. This policy applies to everyone whose personal information may pass through it, including buyers, sellers, landlords and property owners, tenants and occupants, estate agents and other property professionals, contractors and site visitors.

Where an estate agent, landlord or property manager uploads information about another person, that user is responsible for having a lawful basis to do so and for only uploading what is necessary.

2. Personal information we may collect

Buyers and enquirers: name, mobile or WhatsApp number, email address, property requirements, budget and timeframe, together with the date and time of your consent and the policy version that applied.

Estate agents and property professionals: account details such as name, agency name, email address and contact numbers, the adverts placed, inspection records created and the documents uploaded.

Landlords, tenants, occupants and contractors: names and contact details, property and access details, and the content of inspection notes, photographs and documents in which they appear.

Technical information: basic device, browser and log information needed to operate and secure the site, and the cookie or storage preferences you set.

3. Why we process personal information and on what basis

To provide the service you asked for: publishing property adverts, passing buyer requests to registered agents, creating and storing inspection records, and enabling the parties to contact one another. This processing is necessary to perform the service or to conclude or perform a contract.

With your consent: sharing a buyer request with registered estate agents so they may contact you about suitable properties, and optional communications about new listings and service updates. Consent for optional purposes is never pre-ticked and can be withdrawn.

To meet legal or legitimate operational obligations: fraud prevention, security, dispute handling, record-keeping and responding to lawful requests.

4. Who we may share personal information with

Registered estate agents and property professionals, where you have submitted a buyer request or an enquiry intended for them.

Landlords, property owners, tenants and their authorised representatives, where sharing is necessary for a property-management, inspection, maintenance or communication purpose.

Property Direct Hub and HMR Property Solutions personnel, where necessary to operate and support the platform.

Operators (service providers) who process information on our behalf, such as hosting, database, storage, email and authentication providers, under confidentiality obligations and only for the purposes we set.

Authorities or advisers, where we are legally required or permitted to disclose information.

We do not sell personal information.

5. Documents, photographs and inspection records

Uploaded photographs and documents may contain personal information such as names, addresses, signatures, identity or financial details, or location data embedded in a photograph.

Images and PDFs are automatically compressed before storage, and unnecessary image metadata, including location data, is removed during processing. Files are stored in private storage and are reachable only through restricted, access-controlled links.

Please upload only what is reasonably necessary for the property, advert, inspection or enquiry concerned.

6. Security

We apply reasonable technical and organisational measures, including account-based access control, database row-level security rules, private file storage and encrypted connections, to protect personal information against loss, unlawful access and misuse.

No online service can be guaranteed to be completely secure. Please keep your account password confidential and tell us promptly if you suspect unauthorised access.

7. Retention

Buyer requests stop being visible to agents 14 days after submission. We keep a record of the request and of the consent given for compliance and dispute-handling purposes unless you ask us to delete it and we have no lawful reason to retain it.

Adverts, inspection records and uploaded files are retained while the related account is active and for a reasonable period afterwards, unless deleted earlier by the user or by us.

8. Your rights

You may ask us for access to the personal information we hold about you, ask us to correct or delete it, object to processing, or withdraw a consent you have given. Withdrawing consent does not affect processing carried out before withdrawal.

Contact us through the Contact page and we will action reasonable requests. You may also complain to the Information Regulator of South Africa. See the POPIA Information page for more detail.

9. Communications and notifications

We may send you service messages that are necessary for the platform to work, such as account, advert, inspection or enquiry notifications. Optional marketing or update messages are only sent where you have separately opted in, and every such message includes a way to opt out.

10. Cookies and external services

See the Cookie Policy for how we use cookies and similar storage, and how to manage or withdraw your preferences.

The site may link to external websites or services that we do not control. Their own privacy notices apply.

11. Changes to this policy

We may update this policy from time to time. The version shown at the top of the page indicates the current version, and material changes will be reflected in a new version.

This policy is written in plain English for practical use and is not a substitute for advice from a South African attorney.
